How to add a note
A note ties an explanation to a time span and an asset. It's the answer to "why did consumption go up that week?" — written where the question comes up, so the next person sees it without having to ask anyone.
Notes can be added from the Notes page, or directly on a graph.
How to add a note from the Notes page
- Open the building you want to work on. See How to switch building and search for a building.
- Go to Notes in the sidebar.
- Click Add note.
- Fill in the form:
- Building — which building the note covers
- Assets — which systems or meters it's attached to. At least one is required.
- Date/time — the time span. Tick All day if it covers the whole day.
- Level — Info, Warning or Error
- Note — the text itself
- Click Save.
Note: Assets is required. Without at least one, the message says Add at least one asset before creating a note. It's the link to the asset that makes the note appear on the graph later — a note with no asset would be impossible to find again.
How to add a note directly on a graph
This is the quickest route when you're looking at a movement you want to explain.
- Open the graph — Energy > Energy consumption, for example.
- Switch on Note creation mode.
- Select the time span on the graph. The panel shows Select time range and Select end date as you do.
- Click Add a note and write the text.
- Click Save.
Click Cancel note creation mode when you're finished.
The asset and time span are filled in from what you selected on the graph, so you don't have to set them manually.
How to see notes on a graph
Click Show notes to display them, and Hide notes to hide them again. Time spans carrying a note are marked Has note.
The levels
Level | Used for |
|---|---|
Info | explanations of normal circumstances — holidays, rebuilding, changed use |
Warning | something worth keeping an eye on |
Error | a known fault during the period |
The level isn't an alarm; it's a tag that lets you separate explanations from problems when reading through a long list.
Frequently asked questions
Who sees my notes?
Everyone with access to the building. That's the whole purpose — a note is documentation, not a private memo.
What appears under Source?
Who or what created the note. Some notes are created automatically by Properate Insights, others by users.
Can I change a note afterwards?
Yes, use Edit. The note shows Created by: and Last updated by:
Why is the note list empty?
The message No notes for selected time span means there are no notes in the period you're viewing — not that none exist at all. Widen the period.
Is anyone notified when I add a note?
No. If somebody needs to act, create a task — see How to create a task.
Tip!
Add the note the moment you know the explanation, not when you get around to it. A note's value is that it exists on the day somebody looks at the figures with nobody to ask — and that's almost always long after you've forgotten the case.
