How to create a task
A task is something to be done, with an assignee, a due date and a status. That's what separates it from a note or operational information, which only document: a task is followed up until it's finished.
How to create a task
- Open the building you want to work on. See How to switch building and search for a building.
- Go to FDV > Tasks in the sidebar.
- Click New task.
- Fill in:
- Title — what needs doing
- Description — the details
- Type and Subtype — what kind of work it is
- Assignee — who is to carry it out
- Priority — Low, Medium, High or Critical
- Start date and Due date
- Visibility — Me, Organization or Everyone
- Save.
You get the confirmation Task created.
How to create the task from a template
For work that recurs, start from a template instead:
- Click Select a template.
- Choose the template.
The fields are filled in from the template, and you change whatever is specific to this occasion. See How to create a task template.
The statuses
Status | Means |
|---|---|
In progress | the work is underway |
Done | completed |
Done with exceptions | completed, but something departed from the plan |
Follow up needed | needs more work |
Done with exceptions and Follow up needed are the two worth using deliberately. A task that was "almost finished" and set to Done drops out of the lists — and then the remainder is forgotten.
Visibility
Option | Who sees the task |
|---|---|
Me | only you |
Organization | your organization |
Everyone | everyone with access to the building |
Note: Set Me and nobody else sees the task — not even the person you set as Assignee. If somebody else is to do the work, the visibility has to cover them.
How to link the task to something
A task is worth more when it's linked to what it concerns:
- Component — which part the work covers. If the component is missing, use Create component directly from the task. See How to attach a task to a component.
- Building — which building
- Files — documentation and photos. See How to attach files to a task.
Frequently asked questions
What's the difference between Assignee, Participants and Followers?
The Assignee is to carry it out. Participants take part in the work. Followers just want to stay informed — use Follow to become one yourself, and Unfollow to stop.
Can I delete a task?
Yes, with the confirmation Delete this task? Deletion is permanent — the text says Permanently delete this task or task template.
Can I recover a task I removed from the list?
Use Restore task and confirm Restore this task to the active task list?
Where do I see tasks across buildings?
At portfolio level, under Tasks — see How to follow up tasks across the portfolio.
Tip!
Always set a Due date, even an approximate one. A task without a due date can't be sorted out as overdue, which makes it invisible in any review of what's falling behind.
