How to add members to an alert group
The members of an alert group are the people who actually receive an SMS or email when an alarm fires. Their order and their contact details decide whether the notification arrives — and who gets it first.
How to add a member
- Open the building you want to work on. See How to switch building and search for a building.
- Go to Incidents > Alert groups in the sidebar.
- Open the group, or click Edit on its row.
- Click Add user.
- Choose the user in Select user.
- Choose Notify by email, Notify by phone, or both.
- Set the Priority.
- Click Save.
You get the confirmation Group updated.
Note: If you choose no notification method, the message says Select notification method and the member isn't saved. A member without a method wouldn't receive any notification anyway.
How to override the contact details
By default the user's registered User email and User phone number are used. If notifications from this group should go somewhere else — an on-call phone rather than a personal mobile — fill in Notification email or Notification phone on the member.
If what you enter is invalid, the message says Invalid email or Invalid phone number.
How to set the order
Priority determines the order when the alert configuration is set to Notify by priority: the highest priority is notified first, and the rest follow if nobody acknowledges or the incident is passed along.
If the configuration is set to Notify all, everyone is notified at once and priority makes no difference.
How to pause a member
- Open the group.
- Click Pause member.
- Set Pause until with the date they're back.
The member shows as Paused until {date} and is skipped in notification. Use Activate to bring them back before that date.
This is the right approach for holidays and illness — removing the member loses their priority and any overridden contact details.
The warning before you save
If you change the member list of a group that's in use, Properate shows the Changes will be applied dialog before saving. It has two parts:
- Alert configuration changes — which configurations are updated with the new group information
- Incident changes — that notifications for new and existing incidents go to the updated member list
Note: The change applies to ongoing incidents too. Take a member out mid-case and they stop receiving notifications about it.
Frequently asked questions
Why isn't a member getting an SMS?
Check whether the number exists — either on the user's profile or as a Notification phone here. See How to enter your phone number for SMS alerts.
Can one person be in several groups?
Yes. That's common for somebody who is both in the operations team and on the on-call rota.
Can the group be used across several buildings?
Yes, if it's shared — tick the option to share the group with other buildings owned by the same owner. See How to create an alert group.
What if I have unsaved changes?
Properate says You have unsaved changes. Save or cancel before moving on.
Tip!
Set the on-call phone as the group's Notification phone rather than swapping members every week. The group then doesn't change as the rota rotates — only who is carrying the phone.
