How to follow up incidents across the portfolio

Organization incidents shows the incidents from every building you have access to, in one list. It's the view for anyone following a portfolio who can't go into each building to check whether something is sitting untouched.

How to open incidents across the portfolio

• Click Incidents in the sidebar at portfolio level — that is, before going into a building.

• Use Search to find an incident by name.

The Address column shows which building each incident belongs to, since the list cuts across them.

How to filter by owner

If you have access to buildings from several owners, use Filter by owner to see one ownership at a time. The Owner column shows the owner for each incident.

This is useful for operations partners and managers working for several customers: reporting goes per owner, while the work list tends to cut across.

How to see which groups are involved

Groups shows the alert groups attached to the incidents. If you're unsure whether a building even has anyone being notified, this is where it shows quickest.

How to use the list

Two reviews worth doing regularly:

• Sort by how long the incident has been open. The oldest unresolved incidents are the ones that have fallen between two stools.

• Look for incidents with no responsible person. If Responsible is empty and the incident is old, nobody has taken it — however many people were notified.

Why do I see incidents from buildings I don't work on?

The list covers everything you have access to. Use Filter by owner to narrow down.

Is there an equivalent for tasks and notes?

Yes. Tasks and Notes also exist at portfolio level, in the same part of the sidebar.

What if no incidents appear?

Either everything is resolved, or the buildings have no alarms with active periods. Check Alarm configuration in one of the buildings — see How to find your way around Alarm configuration.

Tip!

Do this review weekly, not just when somebody asks. An incident nobody has taken doesn't send fresh notifications on its own — it only gets older, and the portfolio list is the only place you see that without opening every building.
