How to assign a task
A task with no assignee rarely gets done. The Assignee is whoever is to carry out the work; Participants and Followers are the other roles around a task.
How to assign a task
- Open the building you want to work on. See How to switch building and search for a building.
- Go to FDV > Tasks in the sidebar.
- Open the task.
- Choose the person in Assignee.
The Assigned field shows who the task sits with.
The three roles
Role | Meaning |
|---|---|
Assignee | is to carry out the work — one person |
Participants | take part in the work |
Followers | want to stay informed, without taking part |
Use Follow to become a follower of a task yourself, and Unfollow to stop. That's useful for a manager who wants to see what happens to a case without owning it.
Note: Check the Visibility when you assign. If the task is set to Me, nobody else sees it — not even the person you set as assignee. Set Organization or Everyone for the assignment to have any effect. See How to create a task.
How to show progress
The status says where the task stands:
- In progress — the work is underway
- Done — completed
- Done with exceptions — completed, but something departed from the plan
- Follow up needed — more work remains
Priority — Low, Medium, High or Critical — is for sorting what to do first, not for describing how difficult the work is.
How to document along the way
Use Comments to write what has been done and what remains. Activity shows the task's whole history, including changes of status and assignee.

Frequently asked questions
Can two people be assignees?
The Assignee is one person — that's the point of the field. If several are involved, add them as Participants.
Is the assignee notified?
The task lands in their task list. Notification about alarms and incidents is governed by alert configurations, which is a different thing — see How to create an alert configuration.
Can I assign a task to somebody outside the organization?
You can assign to users with access to the building. If an external supplier is doing the work, it's normal for an internal person to be the assignee and follow it up.

Tip!
Set the Assignee and the Due date together. A task with an assignee but no due date sits there with nobody able to call it late, and a task with a due date but no assignee becomes late with nobody responsible for it.
