How to add a service partner

Service partners are the companies holding service agreements on the building — the plumber, the automation supplier, the refrigeration firm.

Service partners are the companies holding service agreements on the building — the plumber, the automation supplier, the refrigeration firm. Where Contacts are people, service partners are companies with an organization number and a trade.

How to add a service partner

  • Go to Settings in the sidebar.
  • Find Service partners.
  • Click Add service partner.
  • Fill in the New service partner:
  • Name — required. Without it: Enter a name
  • Type — the trade, see below
  • Organization number
  • Contact person, Contact phone and Contact email
  • Logo
  • Notes
  • Click Save.

Use Add many for several partners.

To remove one, use Delete and confirm Delete the service partner?

The trades

Type groups partners by trade:

Automation, Electricity, Plumbing, Refrigeration, Fire safety, Technical property manager, Other — and All for partners covering the whole range.

Note: Type is what makes the list usable during an incident. If every partner says Other, whoever is looking has to read the whole list — and by then the time has gone the same way as ringing around would have.

The validation

The fields are checked when you save:

How to find a partner

Use Search for service partner. The columns are Service partner, Type, Contact person, Contact phone, Contact email, Organization number and Notes.

Neither of the first two sends notifications. If a supplier should actually be notified automatically, they have to go into an alert group — see How to create an alert group. If they should carry out work, create a task — see How to create a task.

Frequently asked questions

What should go in Notes?

Whatever decides whether the partner can be used: the scope of the agreement, response times, which installations they cover, and whether they should be reached via an on-call number.

Why add a Logo?

The logo makes the partner easy to recognize in the list — handy when several partners cover the same building.

Can the same company be a partner on several buildings?

Service partners sit on the building, so the company is entered on each building it has an agreement for.

Is the organization number required?

The name is the required field, but if you supply an organization number it has to be valid — 9 digits.

Tip!

Fill in the Type and the Notes with the agreement's scope at the same time as you add the partner. A service partner with no trade and no information about what the agreement covers is no better than a phone number in an email thread — and that's exactly the situation the list is meant to replace.
