How to view the history of generated reports

Reports isn't only where you order reports — it's also the archive of everything that has been generated.

Reports isn't only where you order reports — it's also the archive of everything that has been generated. That makes it possible to answer what was actually delivered, and when.

How to view the history

  • Go to Reports in the sidebar.
  • Use Search for report to find a particular one.
  • Sort by Date to see the order they were produced in, or by Period to see which periods are covered.

The page description puts it briefly: Create reports and review previously generated reports.

What you can read out of the list

Column

What it answers

Name

what the report covers

Report type

which type it is

Period

the span the report is about

Owner

who it was produced for

Date

when it was produced

Status

Ready, Generating or Failed

Two dates are worth distinguishing: Period is what the report is about, Date is when it was produced. A report for 2025 produced in January 2026 is a different thing from one produced in March — the latter has more complete data.

Why the history is worth something

Reports in Properate are snapshots. They aren't updated when new data arrives, and that's precisely why the history matters:

  • You can document what was delivered. If an owner queries the figures in last year's report, the report sits there as it was.
  • You can see whether a period has been reported. A period with no report in the list hasn't been reported, whatever anybody remembers.
  • You can see whether a report was reproduced. Two reports for the same period with different Date values means the figures were updated.
Note: Delete a report and it's gone. If it was used in external reporting, download and archive it at your own end before tidying the list — Properate isn't an archive with an undo.

How to tidy the list

Use the delete button and confirm Delete this report? with Yes. You get {name} deleted.

What's worth deleting:

  • Failed attempts with the status Failed
  • Duplicates for the same period where you know which is the right one
  • Test reports

What shouldn't be deleted: reports that have left the building.

Frequently asked questions

How long does a report stay in the list?

Until somebody deletes it.

Can I download an old report again?

Yes, as long as it's in the list with the status Ready. See How to download a report.

Can I see who ordered the report?

The Owner column shows who it was produced for.

The list won't load?

The message Couldn't load reports. Try again. means the list wasn't fetched. Reload the page.

Tip!

Download and archive the report at your own end the same day it goes out. The report list in Properate is handy for finding things again, but it isn't a binding archive — and a report a colleague deleted in good faith can't be recreated with the same figures if data has arrived in the meantime.
