How to create an energy report

An energy report collects the energy use for a period into a document, for an owner or a tenant.

An energy report collects the energy use for a period into a document, for an owner or a tenant. It requires the floor area to be registered, since the report calculates consumption per square metre.

How to create an energy report

  • Go to Reports in the sidebar.
  • Choose Energy report.
  • The Create energy report dialog opens. Fill in:
  • Period — the span the report covers
  • Owner or Tenant — who the report is for
  • Confirm.

You get the message Report ordered, and the report is generated.

If it fails, the message says Couldn't generate report. Try again.

The requirements on the period

The period has to be long enough for the report to give a meaningful picture. If it's too short, the message tells you how short: The report period must be at least {n} days. You selected {n} days.

If the period is missing: Select a period. If the owner-or-tenant choice is missing: Select owner or tenant.

If the floor area is missing

The area is required — without it, consumption per square metre can't be calculated. If it's missing, the dialog says whose it is:

For the owner — {area} is not available for this owner. The steps are in the dialog:

  • Select the link Go to building settings.
  • Find the field {area} and select the edit button.
  • Update the value and select OK.

For a tenant — {area} is not available for this tenant. Then:

  • Select the link Go to building settings.
  • If the tenant exists in the tenant table, select it to update the area.
  • If it doesn't exist, create it with + New tenant.

Note: The area has to be registered before you order the report. The message Enter area. blocks the order, so you can't fill it in afterwards and have it appear in a report that's already generated.

For billing a tenant it's the tenant report you want, since the area and consumption are then that tenant's.

Which period should I choose?

Follow your reporting period — the calendar year for annual reporting, a quarter for quarterly follow-up. The list has ready-made options like Last month, Last {n} months, First half of {year} and Second half of {year}.

Can I produce a report for several tenants at once?

The report covers one owner or one tenant. If you have several, order one per tenant.

What if the report fails?

The status becomes Failed. Use Retry in the report list.

Tip!

Check the floor area in the building settings before reporting season, not when you're up against a deadline. The area is the one detail that blocks the whole order, and it often has to be obtained from somebody other than you.
